Documents Required for Company Registration in India
Most delays in company registration come from documents, not from the filing itself. A blurred scan, an address proof that does not match the PAN, or a missing signature can send an application back for correction.
This checklist covers the documents founders usually need, how to prepare them, and what changes between structures. Requirements can vary with your situation and with official rules, so treat this as preparation and confirm the final list with the professional handling your filing.
The core documents for each founder
For Indian residents with a valid PAN and Aadhaar, Vega Legal typically asks each founder, director or partner for:
1. PAN card
2. Aadhaar card
3. Passport-size photograph
4. Address proof
5. Bank statement
These are the same core documents across Private Limited, LLP, OPC and proprietorship registrations on Vega Legal. Collect them for every person who will be a director, partner or owner before you start.
How to prepare each one
- PAN and Aadhaar. Check that your name is spelled the same way on both. Mismatches between ID documents are a common reason for correction requests.
- Photograph. Use a recent, clear photo against a plain background.
- Address proof and bank statement. Use recent documents where your name and address are clearly readable and match your other records.
- Scans. Scan in colour, keep every edge of the document in frame, and avoid photos taken at an angle.
Documents for the registered office
Every company or LLP needs a registered office address. Founders are usually asked for proof of that address, such as a recent utility bill, and permission from the owner if the premises are rented or owned by someone else. Ask your filing professional for the exact format before you collect signatures, because a wrongly worded permission letter means doing it twice.
What changes by business structure
The founder documents stay largely the same. What changes is how many people are involved and what the structure needs around them.
- Private Limited Company — Who provides documents: Each director and shareholder; Vega Legal's estimated timeline: 10 to 15 working days
- LLP — Who provides documents: Each designated partner; Vega Legal's estimated timeline: 12 to 18 working days
- One Person Company — Who provides documents: The sole member, plus details of a nominee; Vega Legal's estimated timeline: 10 to 15 working days
- Proprietorship — Who provides documents: The owner; Vega Legal's estimated timeline: 5 to 7 working days
- Partnership firm and Section 8 company — Who provides documents: Assessed case by case; Vega Legal's estimated timeline: Quoted after review
Timelines are estimates and depend on how quickly documents are complete and on the authorities' processing.
Private Limited
A Private Limited company has directors and shareholders, so each of them provides the core documents. You will also be asked for proposed company names and a short description of the business activity.
LLP
An LLP needs details for each designated partner. Partners should agree on capital contribution and profit sharing before filing, since the LLP agreement records these.
One Person Company
An OPC suits a solo founder who wants limited liability. Alongside the founder's documents you will need details of a nominee, so speak to that person in advance.
Proprietorship
A proprietorship is the simplest route for traders and shop owners. It is not a separate legal entity, so registration usually centres on the owner's documents and the registrations the business needs to trade, such as GST.
A pre-filing checklist
Run through this before you upload anything:
- [ ] Names match across PAN, Aadhaar and bank records for every founder
- [ ] Every scan is in colour and fully readable
- [ ] Address proofs and bank statements are recent
- [ ] Registered office proof and owner permission are ready
- [ ] Two or three proposed business names are shortlisted
- [ ] Each founder's email and mobile number are active, as they are often used for verification
- [ ] Partners or shareholders have agreed on ownership split
How Vega Legal handles the documents
On Vega Legal you upload documents to the customer portal. A professional checks them and prepares the application before anything is filed, so problems are caught early. After filing you follow each step through live status tracking in the same portal, and support continues after the certificate arrives.
Plans come in three tiers. Basic covers application filing, expert review and email support. Standard adds priority processing, a dedicated expert and phone support. Premium adds same-day filing, one year of compliance support and a free consultation.
What to do after registration
Registration is the start. Most new businesses need these next:
- GST registration if your business is required to register or chooses to
- Trademark registration to protect your brand name
- Annual ROC compliance for companies and LLPs
